SFX Youth Sports – Frequently Asked Questions

Who should I contact if I have a question?

Start at the Contact page and click the link to email the appropriate person for each program or age division. Though SFX Youth Sports is run by volunteers, we strive to answer all questions in a timely manner.

How do I register for your programs?

All programs and the registration button are listed on the homepage. If you have problems registering, contact our registrar, Sean Edgar, at sean@sfxys.com.

What are the registration dates and seasons for your programs?

We manage each program by the number of available coaches. We encourage early registration, as we activate a wait-list once we reach the maximum number of players for each session. A late registration fee of $35 applies to all admitted players once the regular registration window is closed.

Can I request a particular coach, team, or to be with a specific player?

We do our best to honor player and coach requests, though we cannot guarantee them. We ask that you place either the coach or player name in the request box during registration to alert us.

What are your program fees?

Program fees vary by season and sport. Refer to each program page for more details or contact the program director.

Refund and Cancellation Policy

We aim to provide a positive experience for all participants; however, we understand that circumstances may arise that prevent your player from continuing in our programs.

  • Recreational Sports and Clinics: You may request a refund or account credit for registration fees, provided the request is made at least seven calendar days before the program begins and the player has not yet received their uniform or shirt.
    • Cancellation Fee: Please note that all approved refunds or credits are subject to a $35 administrative processing fee to cover the costs associated with initial registration.
    • Exceptions: Once a program has commenced or a uniform has been issued, we cannot offer a refund or credit.
  • Travel Sports: Because roster spots are limited and commitment is vital to team formation, there are no refunds or credits given once a player accepts an offer to play on a travel team.
  • Coaching Concerns: We are unable to offer refunds due to dissatisfaction with a coach or coaching style. Our organization relies on a volunteer-led model, and registration fees are immediately committed to essential operating expenses, such as field permits, insurance, and equipment. We strive to support our coaches in their development and encourage you to email your division coordinator with any specific concerns so we can address them constructively.
  • Scheduling and Fit: While we hope every participant enjoys their team experience, we recognize that issues with scheduling, team placement, or the sport itself may occur. Our refund policy remains in effect regardless of these personal preferences or family circumstances.
  • Procedure: All requests for a refund or credit must be submitted in writing to sean@sfxys.com and the appropriate division coordinator (as listed on our Contacts page).

Do you offer financial aid?

Financial aid is available to those who qualify to cover recreational program fees. You must contact our registrar, Sean Edgar, at sean@sfxys.com for a financial aid form. The application and proof of income must be received prior to the start of the season/session. Financial aid is not available for travel programs.

What happens if games, practices, or clinics are cancelled?

We do not issue refunds for missed games, practices, or clinics. SFX programs use public and private facilities; programs may be cancelled due to weather, school/park department use, construction, or other unforeseen events (including public health crises) beyond our control. While we will not provide a refund, we will seek to make up the missed session if it is possible.

What happens if the season/session is cancelled prior to the start of the program?

In the event that a recreational program is cancelled before the start of the session due to loss of permits or space due to events beyond our control, each registrant will be charged the $35 withdrawal fee.

How will I know if a game or program is cancelled?

For recreational sports, we utilize the SFX Youth Sports Hotline or the Prospect Park Baseball Association Homepage(for spring recreational baseball/softball). You will find phone numbers on the weather hotline page. Your team’s coach will also be notified and should contact you via email or text. All indoor spaces follow public school holiday and weather closures unless we notify you of a change. Travel sports participants will receive contact directly from their coach.

When and where are practices?

Your child’s coach will decide the practice schedule and will share it with you before the season starts. Most recreational teams practice once a week, usually on a weekday in the late afternoon or evening. Practice locations are determined by the coach, often in Prospect Park.

Do I have to come to practices or games with my child?

SFX is a recreational sports league and does not offer childcare. For younger children, a parent or caregiver must be present in case the child needs to leave early or use the restroom, and must be there to collect the child when practice ends. Older children with parent’s consent often get themselves to and from practices.

When will I find out what team my child is on, and the schedule of games?

You will receive an email from SFX prior to the start of the season regarding team placement. Game schedules are published just before the season starts and will be available on SFXYS.COM under each sports page. Your coach will also share the schedule as soon as they receive it.

What equipment should I purchase for my child?

Please refer to the specific sports page on SFXYS.COM for a list of necessary equipment.

I want to sponsor a team or donate. How do I do this?

Can my child “play up” or “play down”?

Children can play up to an older division with league permission. Requests to “play down” are very rare and are only granted by the SFX President for valid medical reasons. Children who play down will be extremely limited in the positions they are allowed to play.

How do I register to coach?

SFX Youth Sports is completely volunteer-run. You can register to coach by clicking the Register Now button on our homepage. Ensure you register as a coach using the same process you used for player registration. If you have questions, please email the appropriate sport/division coordinator found on the Contacts page.

I don’t want to be a head coach, but would like to be involved. How can I do this?

Your head coach would be thrilled to have an assistant coach. You can register via the Register Now button on our homepage. You may also volunteer to be a Team Parent/volunteer to help coordinate snacks and communications; please speak with your head coach about these opportunities.

Do I need any special certifications to be a coach?

Every coach must become certified to use an AED/CPR and renew this every two years; SFX schedules on-site training with the Parks Department before the season. Additionally, coaches must attend our “Safe Children” training session.
